SCANFAIR 2024: 2024 ScanFair Fact Sheet & Registration Form DEADLINE IS 10/7/24. Exceptions may be given to sponsors or food vendors by emailing shawnm [at] nordicnorthwest [dot] org 2024 SCANFAIR December 7 and 8, 2024 Presented by Nordic Northwest THINGS YOU NEED TO KNOW BOOTH ASSIGNMENTS Space is limited. Reply early to secure your booth. Vendor selection will be decided by the ScanFair Planning Committee. Booths should be related to Scandinavian culture (otherwise please contact shawnm [at] nordicnorthwest [dot] org about sponsorship opportunities). • Location requests will be honored when possible; final assignment of spaces remains the sole responsibility of the ScanFair Committee. • ScanFair booth spaces are 10’ wide and 8’ deep. The space includes one 6’ table and two chairs. • Vendors are responsible for skirting and covering tables. FOOD AND BEVERAGE VENDORS • Most booths serving food to be eaten at ScanFair will be assigned a space in the "Food Court" area. • Describe any food or beverages you will be selling on the Registration Form. • You must meet the specific requirements necessary to protect the health and safety of our customers, including meeting Health Department regulations. • If you require use of the side parking lot for cooking, you must request and get approval during the application process. • Except for baked goods, the sale of all foods and beverages, whether made at ScanFair or elsewhere, require: o A temporary restaurant license from the Multnomah County Health Department. o For-profit entities are required to have Oregon Food Handler cards for ALL staff in the booth. Nonprofits are required to have at least one person with a Food Handler's card be in your booth at all times. o That all persons working in your booth are trained in and follow Health Department food handling rules and guidelines. o Participation in an on-site inspection by a Health Department sanitarian during the event. o Any required forms filled out from the Oregon Convention Center. • Baked goods require an exemption form submitted to the Multnomah County Health Department. • Alcohol vendors require: o Any required Alcohol Authorization forms from the Oregon Convention Center. o Copy of application Special Event License (SEW/SEG/SED) or Temporary Sales Licenses (TSL) for OLCC. o A copy of the Certificate of Insurance, holding Metro, MERC, Levy Restaurants and the members, officers, directors, agents and employees of each entity harmless for any problem occurring from the dispensing of samples of alcohol. The certificate of liability should note “liquor liability” under “other” for one million dollars per each common cause and one million dollars aggregate. o Copies of all OLCC Permits for those people pouring samples and selling alcohol. BREAKOUT ROOMS We have 8 small rooms across the hall from the exhibit hall that are available. If you would like to use a room for your business, let's talk about some creative ideas! This could be used for a demonstration, a film, a lecture, etc. ELECTRICITY/WIFI • Nordic Northwest will subsidize the cost of a 5amp electrical outlet. If you would like electricity, there is a charge of $50 per booth to Nordic Northwest. (We are covering as part of our commitment to keeping costs low to vendors - it costs us $126/booth.) • If you want electricity that has higher amps, please talk to us and we can determine the subsidized price. • Nordic Northwest will provide WiFi for vendors. Each vendor may connect one (1) device per booth. Waste Policy You cannot bring in any of the following prohibited Items: • Foam-core signage • Any signage that cannot be recycled or reused, excluding decals or window clings • Helium balloons • Plastic bags used for purchases, and plastic conference bags provided to collect show items • Any hazardous substance, or item containing a hazardous substance RAFFLE Nordic Northwest is doing a raffle again this year that ScanFair attendees can purchase tickets for. If you'd like to donate something to the raffle, please contact us! GNOME HUNT We are doing the gnome hunt again this year, please select below if you'd like to participate. SET-UP • Set-up times are: - Friday, Dec. 6, 10am - 6pm - Saturday, Dec. 7, 8am - 10am This schedule is subject to change and will be relayed to you. EVENT • Event times are: - Saturday, Dec. 7 10am - 5pm - Sunday, Dec. 8, 10am – 4pm LOAD-OUT Sunday, December 8th from 4pm-7pm. No early load-out. You must be completely finished by 7pm. PARKING Vendors are responsible for their own parking on or off site. (We are currently looking for parking lots for vendors and may update this if we find one). THINGS TO BRING WITH YOU TO SCANFAIR • A tabletop covering sufficiently sized to cover the 6' table. • We strive to create a Nordic Christmas feel for this event. Please help by decorating accordingly. • If needed, please bring your own power strip equipped with a surge protector and an extension cord. • If lighting is an issue in your spot, please bring floor lamp(s) SECURITY • We encourage participants to remove cash boxes, items of value, and items which are easily transportable Friday and Saturday nights. PROCEEDS AND COMMISSIONS • All participants will pay a commission from their sales (see ScanFair registration form). • The commission will not be figured until the vendor has exceeded in sales the amount of their booth rental fee. For example, if your table rental category is For-Profit for $100.00 at the 15% commission level, and at the end of the two days you have total sales of $600.00, your commission fee will be 15% of $500.00 (the amount in excess of $100.00), or a total commission of $75.00. HOW TO REGISTER FOR SCANFAIR 1) The Registration Form • Organization or Business - enter the name as you would like it to appear on the website. • Contact Person - the contact person is the person who will receive ALL communications about ScanFair. This person is also responsible for passing on all necessary information to others in their organization or business. Required: Include your email address. • Describe what you plan to feature - Be as specific as possible. Any item not of Nordic derivation must be approved by the ScanFair Committee. • Requesting Booth Space - o Check the applicable category. In each category the first space is a fixed fee; the second space is rented at a lower rate. o Fill in the blanks on the form: enter the number of spaces and the total amount to be paid. o Vendors can reserve a corner booth for an additional $50.00. This fee is not to be deducted from your commission. This is not guaranteed and the fee will be returned if we cannot accommodate you. • Other needs - Give specific and complete descriptions of your requirements so we can meet your needs. 2) About Your Booth Placement • Spaces are assigned after the deadline. If at all possible, you will be assigned your preferred space. • We will honor space requests whenever possible, but final assignment of all spaces is the sole responsibility of the ScanFair Planning Committee. • All ScanFair participants must stay strictly within the spaces allotted in order to comply with regulations and safety requirements, and to ensure the efficient passage of customers during the event. 3) PAYMENT OF BOOTH FEES Your application is not complete until payment.
